C19 2022 Conference Health and Safety

As our “Reconstructions” conference nears, the Executive Committee wanted to share some additional information about the steps we have taken to mitigate the spread of Covid-19 at our event. It is imperative that our in-person conference be safe. Following the World Health Organization’s risk assessment and mitigation checklist for mass gathering in the context of Covid-19, we are implementing specific measures to ensure the health and safety of all our participants.

We require that participants be fully vaccinated with a WHO-approved vaccine in advance of the conference and abide by current CDC guidelines. We also require that you practice social distancing and remain masked, with a N95, KN95 or KF94 mask or their equivalent while indoors during the conference unless you are actively eating or drinking, even if local area regulations do not require such preventative measures. We will make available a supply of N95, KN95, and KF94 masks (to account for fit variations) at registration for participants who need them. As a courtesy, we will also have a limited number of rapid antigen tests for participants who require testing while at the conference. Our local area student volunteers overseeing registration will be masked and receive honoraria in recognition that their work requires interacting with the general public during the pandemic. The Hyatt Regency Coral Gables also requires all employees to be masked, and all unvaccinated guests are required to wear face coverings in hotel public areas.

Our eight seminar and conference rooms at the Hyatt Regency are located on the ground and mezzanine floors, which will help prevent crowding in one area. We will also provide beverage and snack stations on each floor to help ease congestion and allow for more social distancing throughout the conference. Please know that our Common Table Dinner will be held outdoors at the nearby Bay 13 Brewery and Kitchen, and our closing Reception on Saturday will also be held outdoors in the Hyatt Regency’s spacious Court of Lions Courtyard.

We ask that you not attend the conference if you are experiencing any Covid-19 symptoms. If you begin experiencing such symptoms while attending the conference, please remove yourself from the meeting and make use of our rapid antigen tests. The nearest urgent care facility is Baptist Health Urgent Care, which offers PCR and antibody testing and is located approximately two blocks from the Hyatt Regency. So that you have the information readily available, we have included below an updated list of local area hospitals, pharmacies, and testing sites, in the event that you require medical care or supplies while at the conference. This information will also be made available on our conference website. We will keep you updated on any new domestic or international travel restrictions. 

We will also offer registration refunds (minus a $20 processing fee for the Ex Ordo and Stripe payment interface) until 5pm Pacific on March 17 for those of you who find yourselves having to withdraw from the conference. As a courtesy, we have pushed our refund deadline as close to the start of the conference as possible. After March 17, there will be no refunds.

Please know that we have taken into careful consideration the most current health and safety guidelines for our conference. Of course, it is impossible for us to eliminate all risk, and we cannot be held responsible if someone contracts the novel coronavirus while attending the conference. However, our health and safety measures are intended to help make your conference experience as safe as possible under the circumstances. We hope that our Covid-19 mitigation strategy offers some peace of mind as you prepare to travel to Coral Gables, and we are eager to welcome you to the conference.
